A proposed time still needs an answer.
At 09:25, reception has suggested Tuesday at 14:30 for appointment request C-104. The patient asked for Tuesday after 14:00. The calendar record shows 10:00 available, 14:30 available and 16:00 occupied.
The suggested time fits the request, but no reply accepting it has been recorded and reception has not entered a booking. A registration form is also missing.
The next receptionist has to piece this together from the request, calendar and follow-up records before continuing.
I can see 14:30 in the conversation, but I can’t tell whether we suggested it or the patient accepted it. I don’t want them to repeat the whole request.
Let’s keep each message with its sender and time, then show what still needs an answer.
Bring the request, availability and response together.
AI puts the request and its requirements in a brief, links back to the original records and drafts a question for reception to review. The brief shows which available time fits the patient's preference, which falls outside it and which slot is occupied.
Explore the three recorded stages below: 09:10, 09:25 and 10:05. Select a time to open its record. The first view shows the proposal still awaiting an answer.

Selecting a time only opens its record.
Reception follows up on the proposed time, rechecks availability when the patient replies, and records the booking.
Request C-104 · 09:10 Preference: Tuesday after 14:00. The request contains no acceptance of a specific time.
When is the appointment confirmed?
Before recording a booking, reception needs the patient’s acceptance and a fresh availability check. Until then, the time is only a proposal. The registration form has a separate follow-up status. Clinical questions stay with the responsible clinic staff.
Reception checks the current calendar before offering a time, since the earlier record may be out of date. The receptionist reviews the draft message and contacts the patient as usual.
Proposed, accepted and booked are three different steps. I need the next receptionist to see exactly where this request stands.
We can show those steps in the brief. Your team still checks the calendar, speaks with the patient and records the booking.
The patient accepts at 10:01. Reception checks availability again and, at 10:05, records the appointment for Tuesday at 14:30. The administrative form is still missing, so reception keeps a separate task to follow it up. The missing form does not cancel the appointment or determine eligibility for care.
- 1
Collect
AI prepares a brief with the requested day, preferred time and previous replies, linked to the original records.
- 2
Compare
Reception checks the current calendar against the request. A free time outside the patient’s preference is not a match.
- 3
Confirm
Reception proposes a suitable time and records the patient’s reply. A proposal alone does not confirm a booking.
- 4
Record & follow up
Reception rechecks availability and records the appointment. If the registration form is still missing, it keeps a separate follow-up task with an assigned owner.
Measure the administrative work around one request.
The chart compares 18 minutes before and 9 minutes with the brief per request. Finding the request and previous replies takes two minutes instead of seven. Preparing the reply and handover takes two instead of six. Reception still spends five minutes checking availability and recording the booking.
Verification still takes five minutes.
The breakdown covers the time spent finding records, preparing the reply and verifying the booking for one appointment request. It excludes time spent waiting for the patient’s answer.

View the time breakdown
For one request, the chart shows 18 minutes of administrative work before and 9 with a shared brief. Verification takes five minutes in both cases. The totals exclude waiting for a reply, the time until the appointment and the visit itself.
| Activity | Before | With a shared brief |
|---|---|---|
| Find the request and previous replies | 7 | 2 |
| Prepare the reply and handover | 6 | 2 |
| Verify availability and record the booking | 5 | 5 |
| Total active time | 18 | 9 |
These figures cover active administrative work. They exclude waiting for the patient's response and the duration of the visit.
The next person knows what remains open.
The next receptionist can see the appointment in the calendar and the patient's reply accepting it. The missing form has its own follow-up task, so it stays visible even though the booking is complete.
The patient accepted 14:30 at 10:01. I checked availability and recorded the appointment at 10:05. The registration form is still missing.
Keep the booking confirmed and the form follow-up open. The person taking over needs to see both.
Reception handles the administrative steps. Clinical questions go to the responsible clinic staff through the usual channels.
